How to Access and Download Your Completed Transcript

How to find, download, and access a completed transcript or audio recording on TheRecordXchange once your request is finished.

Overview

When your transcript or audio request is complete, you'll receive an email notification from TheRecordXchange. This article explains how to log back in and access your completed content.


Accessing a Completed Transcript

  1. Log in to the TRX site where you placed your order (check your original confirmation email if you're unsure which site).

  2. From your dashboard, locate your request and click the Request # or Case Name to open it.

  3. Click the Downloads tab on the request.

  4. Click the download icon next to your transcript file to save it to your device.

Transcripts are typically delivered as PDF files. Some providers may also include additional formats such as Word documents or condensed transcripts depending on what was ordered.

Note: If the download icon appears greyed out, the file has not yet been enabled for download by the provider. If you believe your request is complete and the file should be available, post a message on the Messages tab or contact TRX Support.


Accessing a Completed Audio Recording

  1. Log in to the TRX site where you placed your order.

  2. Open your request from the dashboard.

  3. Click the Player tab on the request.

  4. Use the TRX Player to stream your recording directly in the browser. No additional software or downloads are required.

The TRX Player works best in Google Chrome. If you experience playback issues, try switching to Chrome before contacting support.

Downloading an Audio Recording

Audio recordings are streamed by default. Whether a downloadable file is also available depends on the court — not all courts enable downloads.

If a downloadable copy has been made available, you'll see a disk icon beneath the player bar on the Player tab. Click it to download the file.

If no disk icon appears and you need a downloadable file, post a message on the Messages tab of your request asking the court to enable the download. Keep in mind this is at the court's discretion.


If the Player tab says the recording isn't available yet

If the Player tab shows a message along the lines of "You will be able to view your recordings once they have been published," the file has reached us but hasn't been released to you yet.

There are two common reasons

  • The recording is still being processed. Uploaded files are converted into a streaming format before they can play. This usually takes a few minutes, and it can take longer for a long hearing or for several files at once.

  • The recording is waiting on approval. Audio requests usually need to be authorized by a judge or court official before they can be released. Approval isn't automatic, and it can be declined.

Your request can show the file as uploaded during both of these, which is why the status and the player sometimes disagree.

What to do

  1. 1Wait about fifteen minutes and reload the Player tab, in case processing is still running.

  2. If it still isn't available, reply to your support conversation and tell us what the Player tab says. We can check whether it's waiting on processing or on approval, and tell you which.

  3. To ask the court directly about approval, post a message on the **Messages** tab of your request.

Please don't submit the request a second time. That creates a second order and a second charge, and it won't speed up approval.


What if I Have a Balance Due?

If your request shows a Balance Due status, your transcript is complete but a remaining payment is required before your files are released. You'll see a green Make Payment button on your request.

Once payment is confirmed, your Downloads tab will become active and your files will be available immediately.
