Claim Request

In order to update / finalize the Request, you'll need to CLAIM the Request. Once claimed you have control of the Request and can edit / update the Request. No other Users will be able to edit the Request once its been claimed.

To claim the request, navigate to the Share tab and click "Claim" next to your name.

You can UN-CLAIM the request if needed, just click the "Un-Claim" button

Upload Content to Request

To upload files, from the Details Tab or the Content Tab, click the "Upload Files" button.

Next, a pop-up window is displayed. Click "Add Files" and select the files to be uploaded.

Once the files are added to the queue (listed in the select files list) click "Start Upload"

When complete, the window displays a message “# file(s) successfully uploaded!” click “I’m Done” to close this window.

Files uploaded to the Request must then be "Processed" so they will be available to stream. VIQ files, when uploaded in the appropriate format / folder structure, should have the option to process VIQ ..zip files in the dropdown, see screen recording below:

While processing, there is an indicator on the content tab of the request showing the # of processing jobs currently running on that Request.

This processing time can take anywhere from a just a few seconds to 10+ minutes depending on the number and the total size of the files processing.

Review Content in TRX Studio

Once processing is complete, to make the Content available to the Ordering Party / Customer it must be PUBLISHED via the Content Tab.

There are 2 subtabs under the Content tab, File Manager and Studio.

The File Manager tab displays all the files uploaded to the Request. These files can be downloaded from the File Manager. However, files are PUBLISHED for streaming via the Studio tab.

The TRX Studio displays the hearing dates uploaded and processed in the Request

In the screenshot below, the hearing date is 1/17/2013. It has a duration of 56m50s (00:56:50) The hearing can be opened in the player for review by clicking on the Date text.

Clicking the hearing date will take you into the TRX Studio (Screen recording below):

The TRX Player includes more detailed date / hearing information. Note in the screenshot below, the Studio displays Case name (Demo Audio Request), Hearing Date (Thursday January 17, 2013), Start time (9:21:39am), End Time (11:19:49am) and Total length (56m50s). If there are log notes available they are also added to the Player.

Publish Content

Once all the content has been uploaded, it can be published to the player for the customer to review. To publish ALL the content loaded into the Player, Click on the 3-line menu in the and select "Publish" from the drop-down list. This will place all the content currently loaded in the studio into the TRX Player on the Downloads tab.

Bookmarking Process

If you need to release only a portion of a larger hearing, there is a bookmarking capability in the Player. To do so, you need to set the START and END time of the hearing and then create a BOOKMARK. In the video below, the start time has been adjusted by entering the specific START / END times in the player and then clicking enter to save those times.

*In the example below, we'll assume the hearing STARTS at 9:30am and concludes at 10:00am,

Once that time range is set, a bookmark needs to be created. This is done by clicking the Bookmark icon below the Player

Clicking the "Create Bookmark" icon will create a smaller designation of the content that can then be published.

Note, in the image below, when the bookmark is created a green banner is displayed confirming creation but the range of the bookmark set is also displayed in the Player using a black line / tick marks. This displays the segment which has been bookmarked.

Once the bookmark is set, selecting PUBLISH from the menu will only publish the bookmarked portion to the Player tab for the Customer to review.

Note in the screenshot below only the segment from 9:30am to 10:00am is available in the Player.

TRX VoiceCopy

TheRecordXchange includes a feature called VoiceCopy for Hendricks County Court. This feature creates a linked text document from the recording. This is NOT a Transcript but can help search for specific content within a larger hearing.

From the TRX Studio, select the options menu and select "Process VoiceCopy" from the drop down menu (see screen recording below)

While VoiceCopy is processing, there is a indicator in the VC column of "processing" (See screenshot below)

When the VoiceCopy processing is complete, the VoiceCopy text will display on the Studio tab. Click the VoiceCopy link (screenshot below) to expand the VoiceCopy text view.

You can then Search within the VoiceCopy using the search box. The search will highlight the searched text. Click the text to navigate to that point in the Recording.

VoiceCopy in the TRX Studio is NOT available to the Customer on the Player tab by default. It is possible to Publish the VoiceCopy to the Player tab if needed by selecting "-Deliver VoiceCopy" via the options menu

Posting Messages

To post a message to a Request, open the Messages tab. Next, enter the message into the text box and click "Post". Messages are logged in the Request and everyone on the Share tab with notifications enabled is notified via email (based on their notification settings). This email includes a copy of the message and a direct link back to the TRX Request.

The messages tab also keeps a history / log of all messages posted to the Request. This log is available to both the Provider and the Customer on the Request.

Sharing Requests

The Share tab displays all the users associated and whether they have notifications turned on for the Request.

Requests can be shared directly with others using their email address. Click the "Share" button to open sharing options for the Request Enter the invitee's first name, last name, and email address.

**If they don't have an active TRX account, their username on the share tab will include (Pending) this text will be removed once their TRX account is active. They will need an active account in order to review the Request.

Finalize Requests

Once a Request has been fulfilled and completed, the TRX Request should be finalized. The Finalize button is listed on the top right corner of the Request.

Before finalizing the Request, the system provides a reminder as to what exactly happens to the Request when it's finalized.

  • Customer will be notified via email

  • Request will move to "Completed" status

  • Request cannot be modified once Finalized

After being Finalized, the status of the Request is updated to Completed.

Archive Requests

You have the option to "archive" your Requests. This tool is intended to help you keep your Request list organized by removing old / completed Requests from your default views. Requests can be archived from the Request itself using the "Archive Request" button

By default, Archived Requests are not displayed on the order listing page. This helps you to keep your Request list organized since you can Archive Requests as they are completed. You toggle between displaying or not displaying Archived Requests using the Show / Hide Archived button on the Request listing page.
