Overview
Once you submit a request on TheRecordXchange, the platform guides it through a series of stages until your transcript or recording is delivered. This article walks you through what happens at each step and what — if anything — you need to do.
Stage 1 — Submitted
As soon as your request goes through, you'll see a confirmation on screen and receive an email from TheRecordXchange with your request number and a direct link back to your request.
Your request is now in Submitted status. The court or transcript provider has been notified and will review and claim your request, typically within 48 hours.
What you need to do: Nothing yet. Keep an eye on your email for updates.
Stage 2 — Deposit Required (if applicable)
For transcript requests, the provider may review your case and request a deposit before beginning work. If this happens, your request moves to Deposit Required status and you'll receive an email notification.
What you need to do: Log in to your request and click the green Make Payment button to pay the deposit by credit card. Once paid, your request will automatically move to In Production.
Not all requests require a deposit — some courts process requests without one.
Stage 3 — Authorization Review (audio requests only)
For audio recording requests, many courts require a judge or court official to review and approve your request before the recording can be released. This step is required by the court — TRX cannot bypass it.
You'll receive an email notification once a decision has been made. Possible outcomes are:
Authorized — Your request is approved and will proceed.
Denied — Your request was not approved. You'll receive a reason by email.
Provisional — The authorizer needs more information before deciding. Check the Messages tab on your request for details on what's needed.
What you need to do: Wait for the court's decision. If the request is marked Provisional, respond to any questions on the Messages tab of your request.
Stage 4 — In Production
Your request has been claimed by the provider and work has begun. For transcript requests, a court reporter is transcribing the hearing. For audio requests, the recording is being located and prepared for delivery.
What you need to do: Nothing required at this stage. If you have questions about timing or need to provide additional information, use the Messages tab on your request to communicate directly with the provider.
You can check the status of your request at any time by logging in and viewing your dashboard.
Stage 5 — Balance Due (if applicable)
For transcript requests, the final cost is based on the actual page count of the completed transcript. If the final amount exceeds your deposit — or if no deposit was collected — your request will move to Balance Due status when the work is complete.
You'll receive an email notification with the amount owed.
What you need to do: Log in and click the green Make Payment button to pay the remaining balance. Your transcript will be released for download once payment is confirmed.
Stage 6 — Completed
Your request is complete and your transcript or recording is ready. You'll receive an email notification.
For transcript requests: Log in, open your request, and click the Downloads tab to download your completed transcript.
For audio requests: Log in, open your request, and click the Player tab to stream your recording. If a downloadable file has been made available by the court, you'll see a download icon beneath the player bar.
Checking Your Request Status Anytime
You can check the current status of any request by logging in to the TRX site where you placed your order and viewing your dashboard. All active requests are listed there with their current status.
If you need a status update and aren't seeing one, the best way to get a response is to post a message directly on your request using the Messages tab. This notifies the provider and TRX Support simultaneously.
