Routing and Authorizations

Written by Chris Shaw

We use both Routing and Authorizations in TheRecordXchange. There has been some confusion on these terms recently.

Routing

Routing applies to both audio and transcript requests. This Routing defines WHO will have access to the Request by adding these users to the Share tab. The Users added depend on criteria such as the Judge's name or the Case Number.

In Marion County, routing is determined by the Case Number entered on the request form, specifically the Court Type and Number listed in the case number field (e.g., D06)

TheRecordXchange manages the routing database using information provided by the Court and Court Administration.

Users added to the Share tab through the routing group must still claim and process their requests as usual. While TheRecordXchange manages audio requests, transcript requests are the responsibility of the reporter. The routing group ensures that all relevant users receive notifications about these requests.

Authorizations

Authorizations apply only to audio requests. When required, a request needs to be reviewed and approved by someone at the Court. Transcript requests do not have an authorization process.

Audio requests either require authorization or they don't, based on criteria provided by the Court.

If a request does not require authorization (e.g., it is waived), ff

TheRecordXchange (TRX) can release the requested content to the customer immediately.

For audio requests requiring authorization, TRX must obtain approval before releasing the hearing content. The request will be routed to the appropriate Court users for review. Once authorized, the requested hearing content will be released to the customer or requesting party. If denied, the customer will be notified accordingly.

Typically, the authorizers for these requests will be the judge(s) or court personnel designated by the judge or Court Administration.

We'll look more into these Authorization Statuses and how we can help automate these processes for you and your team.
