This help guide explains how to use TRX's Transcript delivery Process. This Process allows you to upload and manage transcripts directly through the Request's download tab.
Claiming a Request
Before uploading transcripts, you must claim the Request:
Navigate to the Request's share tab
Click "Claim" to Claim the Request and set yourself as the Claimant
Once Claimed, you'll see "Un-Claim" next to your name on the Share Tab.
After the Request has been CLAIMED, the Claimant can perform additional tasks, including editing the Request and adding Transcripts to the Downloads tab.
Adding Transcripts for the Customer to access
Note: Customers only have access to the Downloads tab, not the Content tab. This is why transcripts must be uploaded to the Downloads tab for customer access.
Navigate to the downloads tab
Click the "Upload Transcripts" button -- **Supported formats: PDF, DOC, TXT, PTX..
Select your files to upload by clicking the "Add Files" button
Click "Start Upload" to upload selected files to the Request
Once files are uploaded, they are listed on the Downloads tab of the TRX Request but are NOT yet available to the Customer on the Request. These downloads must be enabled (see next section)
Managing Downloads
File Controls
Select files for action by clicking their checkboxes in the list. From the dropdown menu, you can choose from the following options:
Enable Downloads
Disable Downloads
Download
Delete
The Action selected from the drop-down will apply to all checked files.
When you enable or disable downloads, the changes take effect immediately. While customers can always see the list of uploaded files, they won't be able to download them until you explicitly enable downloads.|
Download Status Indicators
When files are uploaded to the Downloads tab, they have two distinct states:
Disabled for Download: When downloads are NOT enabled for a Transcript on the downloads tab, the download icon appears greyed out and inactive. Customers can see the file listed but cannot click the download icon to access the file.
*This is the default setting for uploaded files*
Enabled for Download: When downloads are enabled, the download icon becomes active and shaded, indicating that the file is available for download. Customers can click this icon to download the file.
These visual indicators help providers quickly identify which files are currently accessible to customers. When you enable or disable downloads, the changes take effect immediately.
History Tracking
Clicking the "History" Button will open the History Information for the Downloads on this Request. This History log includes enabling/disabling downloads, downloads of the file as well as who performed the action listed.
Note: The History button and History page are also available to customers. Customers can see the complete download history, including who enabled files and when files were downloaded.
Note in the screenshot below there is a value for Filename, Action, Date and Name/Email (the user performing the action).
Bulk Downloads
To download multiple files at once, select the desired files using the checkboxes, then choose "Download" from the dropdown menu and then the "Go" button.
This allows you to retrieve several files in a single action rather than downloading each file individually. These files will be delivered in a zip file.
Deleting Files
You can delete files individually by clicking the trash can icon next to each file, or delete multiple files at once by selecting them with checkboxes and choosing "Delete" from the dropdown menu. Once files are deleted, they will be immediately removed from the Request and no longer available for download. Please note that this action is permanent and takes effect right away, even if customers currently have the downloads page open in their browser.
Managing Existing Requests
Already Delivered Requests
For Requests where you've already delivered the Transcripts using the previous process and the Transcripts are already on the Downloads tab, no action is needed. All previously delivered files will remain accessible to the Customer via the Downloads tab.
In-Progress Requests
If you haven't delivered your transcripts yet, you have two options. You can either upload your files directly to the Request's download tab using the new process, or if you've already uploaded files to the project deliverables tab but haven't clicked the "Deliver" button yet, you'll need to re-upload them using this new Process.
Important Notes
Before uploading transcripts, you must first claim the Request. The "Upload Transcripts" button will only become visible after you've claimed the Request. If you choose to unclaim a Request, you will no longer have access to the upload functionality. Please note that all upload and download times are recorded in UTC.
