A detailed guide to using 10th Judicial GA ASGARD's search capabilities, creating designations, and working with court recordings.

Introduction

This guide provides detailed instructions for using TRX ASGARD™ in the 10th Judicial District of Georgia. TRX ASGARD™ allows court personnel to access, search, and manage recorded court proceedings through an intuitive web interface. The following sections will walk you through the system's features and functionality.

Getting Started: Basic Navigation

After logging in to TRX ASGARD, you'll see two main tabs at the top of your screen:

  1. Designations Tab: This is where you can access portions of recordings you've saved

  2. Search Tab: This is where you'll find recordings by date, name, or other criteria

These tabs serve as your primary navigation within TRX ASGARD. Simply click on either tab to access its functions.

Search Functionality

The search interface allows you to find recordings through multiple methods:

Date-Based Search

  • By default, the date range is set to the last 7 days

  • Entering no text in the search box will result in all hearings from the selected dates being displayed in the search results.

  • Date range can be adjusted using the calendar selector

  • Only one date is displayed at a time in the search results. Switch between dates by clicking the box next to the appropriate date, those hearings will then be displayed.

  • Results are organized by location/courtroom

Name-Based Search

  • Enter names of parties, attorneys, judges, or other participants in the search field

  • Click the Search button to display results

  • Names are generally recognized well by VoiceCopy©

  • Example search: "Robinson" or "Mandy Holmes"

Case Information Search

  • Enter case information in the search field

  • Click the Search button to display results

  • Case numbers may not always be stated verbally during proceedings

  • Names of parties and attorneys are typically more reliable search terms

  • When available, partial case numbers or case types can be helpful

  • Case descriptions may also yield results

Navigating Search Results

  • Results display the location, date, and time of recordings

  • Results are grouped by date, with one date displayed at a time

  • Click on a different date in the results to view recordings from that day

  • To view a recording, click on the View button next to the desired result

In the screenshot below, the search is looking for any reference to the name 'smith' on 3/4/2025. There are 3 results.

Working With Recordings

Isolating Specific Portions of Hearings

Once you've located a hearing recording, you may need to isolate specific sections rather than work with the entire recording:

  1. Open the recording by clicking on it in the search results

  2. Use the timeline and player controls to navigate to the relevant portion

  3. The timestamps in the VoiceCopy© text can help you locate specific moments

  4. When you find the relevant section, you can:

    • Create a designation to save this portion (see Creating Designations below)

    • Use the player controls to replay just this section

    • Make private notes linked to specific timestamps

In the screenshot below, a hearing from 3/11/2025 is loaded into the Player.

Playback Controls

  • Play/Pause: Standard controls in player

  • Speed: Adjust playback speed as needed

  • Volume: Adjust volume for each channel

  • Channels: Disable/isolate individual channels

  • Navigation: Click on timeline to jump to specific points

  • Foot pedal: Connect transcription footpedal if needed

Player Subtabs

When you open a recording, you'll notice three subtabs below the player:

  1. VoiceCopy©: Displays a searchable linked text document created from the recording using voice recognition

    • Plain Text Option: Use the "Enable Text Selection Mode" checkbox inside the VoiceCopy© window to switch to plain text format, making it easier to copy and paste the text into other documents (useful for transcript production)

  2. Log Notes: Shows any log entries, though in most cases these are only auto-generated entries as manual log notes are not typically created

  3. Private Notes: Allows you to create your own time-stamped notes linked to specific points in the recording. These private notes can be shared with other Court users when you share a designation

Private notes are particularly useful for marking important testimony or procedural moments in a recording for your own reference or to highlight sections for colleagues.

Creating and Managing Designations

What are Designations?

Designations allow you to save specific portions of recordings for easy reference later. This is useful for:

  • Identifying important testimony

  • Marking relevant sections of lengthy hearings

  • Creating shareable excerpts for judges or colleagues

Creating Designations

  1. Open the recording of interest

  2. Click "Create Designation"

  3. Use the player controls to identify the portion you want to save

  4. Set the start and end times for your selection

  5. Click the bookmark icon to confirm your selection

  6. Click Save

  7. Name your designation in a way that's meaningful to you

Working with Saved Designations

From the Designations tab, you can:

  • Access all your saved designations

  • Add private notes for your reference

  • Share designations with other court staff (internal only)

  • Download RTF (VoiceCopy© text) for the designated portion

Practical Examples

Example 1: Finding a Specific Case by Name and Date

To find the Edgardo Robinson hearing from February 28, 2025:

  1. Set the date range to include February 28, 2025

  2. Enter "Robinson" in the search field

  3. Review results for Edgardo Robinson's hearing at 11:22:57

  4. Verify by scanning the VoiceCopy© text for relevant content

Example 2: Creating a Designation for an Important Testimony

Using the Mandy Holmes hearing from February 26, 2025:

  1. Search for "Mandy Holmes" and set date to February 26, 2025

  2. Open the 9:18am hearing

  3. Navigate to the important testimony section

  4. Click "Create Designation"

  5. Set the start and end times for the testimony

  6. Click the bookmark icon to confirm your selection

  7. Click Save to store the designation

  8. Name the designation and add any private notes

Best Practices

Effective Searching

  • Focus on names of parties, attorneys, and judges as primary search terms

  • Narrow date ranges for faster results

  • Try different search terms if initial results aren't helpful

  • Remember that not all case numbers may be spoken aloud during proceedings

Managing Designations

  • Name designations in whatever way is helpful for your workflow

  • Add private notes with context if needed

  • Regularly review and remove designations you no longer need

System Limitations

  • Only hearings that were recorded will appear in the system

  • Voice copy may not perfectly capture all specialized terminology

  • Currently limited to the four Augusta District Courts

  • WebEx recordings not yet available
